Your absence from a ChatGPT answer does not mean you are a worse agent. It means that, for that question and context, the system produced an answer that did not include your business.
Start by checking four things: whether the answer used web search, whether your website is accessible to the relevant search crawler, whether your public information clearly supports your local services, and which sources the answer actually cites.
There is no reliable way to diagnose the cause from one screenshot. The checklist below helps separate observable problems from assumptions, then turn those findings into practical next steps.

First make sure you are comparing the same search
“Who is the best agent near me?” is not a precise or repeatable test. Instead, use a specific location and need, such as “Which real estate teams can help me sell a condo in [neighborhood, city]?”
OpenAI explains that ChatGPT can use location information, rewrite a question into search queries, and use relevant memory when preparing a search. Its documentation also says search placement depends on multiple factors and is not guaranteed. Record those conditions rather than assuming every person receives the same answer. How ChatGPT search works.
For your baseline, use a fresh conversation, specify the place, and confirm that web search was used. Record any relevant personalization settings. A fresh chat reduces prior-conversation influence; it does not make the result a universal ranking.
Work through the likely gaps
These are diagnostic possibilities, not a published formula for ChatGPT rankings.
| What you observe | What to check | What to do next |
|---|---|---|
| The answer concerns a different location or type of client | Exact prompt, location, search mode, and conversation context | Repeat with the correct city, neighborhood, and service |
| Your site cannot be accessed by the relevant crawler | Hosting logs, crawler rules, and security challenges | Ask the website or hosting team to correct the specific block |
| Your business appears under an old name or brokerage | Website, brokerage bio, and profiles mentioned in the sources | Correct outdated facts and align the current identity |
| Competitors have relevant local pages and yours is generic | Pages cited for the target question and your equivalent content | Publish a useful answer grounded in your actual local experience |
| A directory or publication supplies the agent list | The exact source, its inclusion method, and factual accuracy | Correct your listing or pursue a legitimate editorial opportunity |
| Your business appears inconsistently across repeated checks | Prompt wording, dates, platforms, and cited sources | Establish a baseline before attributing the change to your work |
Check 1: Can search systems access your website
OpenAI identifies OAI-SearchBot as its search crawler and recommends allowing its requests through both robots.txt and the hosting or CDN layer. GPTBot is a separate control associated with model training; allowing training is not the same task as allowing search access. OpenAI crawler documentation.
Ask your website team to inspect the actual response to the crawler. A page that works in your browser can still be challenged or blocked elsewhere. Request a specific finding: the affected URL, response status, rule causing the problem, and evidence that the correction worked.
Do not remove all security controls to fix one crawler issue. Correct the relevant rule using the provider’s published identification guidance.
For Google’s AI features, Google says a supporting page must be indexed and eligible to appear with a snippet. Its guidance also emphasizes internal links and important content in text form. These are Google requirements, not a complete explanation of ChatGPT’s selection process. Google’s AI feature guidance.
Check 2: Is it clear who you are and where you work
Review your homepage, team page, brokerage bio, and the public profiles appearing in the answers you are studying.
A reader should be able to establish your business name, current brokerage relationship, contact details, actual service areas, and relevant experience without guessing. Remove contradictory old information where you control it and request corrections where you do not.
Use specific, supportable descriptions. “We help condo sellers in these neighborhoods” is more informative than “We are the best team everywhere.” Link any claims about awards, credentials, or experience to evidence when possible.
This is a practical clarity check. It does not prove that a particular profile inconsistency caused your omission.
Check 3: Do your pages answer the client question
A listing search page may serve buyers looking for available homes, but it may not explain why your team is suited to helping a seller price and market a particular property.
Choose a real question your clients ask and answer it thoroughly. For a local condo-selling page, useful material might include the sale process, building-document preparation, factors that affect pricing, common delays, and how your team helps. Keep facts current and identify the person responsible for the advice.
Add local detail because it helps the reader, not to repeat place names. Avoid producing dozens of nearly identical neighborhood pages. Where you publish market figures, identify the geography, period, and source.
Then link the page from a relevant service page so visitors can find it. Your goal is a useful, discoverable resource that supports a clear service claim.
Check 4: What evidence supports the agents being recommended
Open the answer’s citations. Write down whether each one is a brokerage profile, directory, local publication, review platform, or the agent’s own site.
Look for concrete differences you can investigate: a complete biography, current specialty information, useful local articles, or a factual listing you have not maintained. A citation tells you which source was used in that answer; it does not reveal every reason the system selected that agent.
Correct factual errors before seeking new placements. Pursue relevant profiles and earned coverage that make sense for your business. Do not fabricate reviews, awards, press mentions, or supposedly independent “best agent” lists.
If the answer makes an unsupported claim, check the underlying source. AI answers and citations can be incomplete or wrong.
What should you fix first?
Use this order to avoid spending time on more content while a basic problem remains unresolved.
- Reproduce the question. Record the exact search and location, and inspect the cited sources.
- Resolve demonstrated access problems. Fix inaccessible pages or confirmed crawler blocks.
- Correct identity and service information. Address outdated business facts on your site and important profiles.
- Improve the most relevant existing page. Add a direct answer, useful detail, supporting evidence, and a clear next step.
- Fill one meaningful content gap. Create a new page only when the existing site has no suitable home for the answer.
- Recheck and document. Record the change, publication date, later crawl evidence where available, and subsequent observations.
For example, if a seller question returns three teams and cites a local directory, begin by checking that source and your own seller page. Publishing five generic market blogs would not address a verified missing or inaccurate profile.
How to tell whether the work is helping
Choose a small, stable group of buyer and seller questions relevant to your actual business. Review them on a consistent schedule, keeping the wording and settings comparable.
| Record | Why it matters |
|---|---|
| Date, platform, exact prompt, location, and search mode | Makes the observation interpretable |
| Whether your business was mentioned and how | Separates inclusion from accurate positioning |
| Cited URLs | Shows what supported that particular answer |
| Website changes and publication dates | Creates a record of work to compare with later observations |
| AI referral visits and inquiries | Connects visibility monitoring to actual business activity |
A simple mention rate is the number of recorded answers naming your business divided by the number of comparable answers reviewed. Treat it as a description of your sample, not your share of all AI conversations.
Keep crawling, citations, referrals, inquiries, and closings separate. None automatically proves the next. Ask new prospects how they found you, and record that alongside available analytics rather than claiming every improvement caused a sale.
Frequently asked questions
Does missing from an answer mean my website is blocked?
No. A crawler block is one possibility. Test it before changing your hosting configuration.
Can I make ChatGPT recommend me every time?
No dependable process guarantees that outcome. Focus on accurate information, useful content, accessibility, and consistent measurement.
Do I need to let OpenAI train on my website?
Search access and training access are separately controlled. Review OAI-SearchBot and GPTBot settings with your website team rather than treating them as interchangeable.
Do I need a special AI file or special schema?
Do not make that your first fix. Google explicitly says its AI features do not require special AI text files or special schema. Any structured information you add should accurately describe the visible page; markup alone is not proof of a recommendation.
Will more reviews solve the problem?
There is no universal review count that guarantees inclusion. Maintain authentic, accurate public evidence and inspect the actual sources used for your target questions.
How soon should I retest after a change?
Record the publication date and check that the corrected page is accessible. Later observations may depend on recrawling and other systems updating. Use repeated checks over time rather than expecting an immediate result.
What if ChatGPT names me but gives the wrong information?
Find the cited source of the error where possible. Correct information you control, request factual updates elsewhere, and record when the source changes before testing again.
